Data Storage Risks: A Modern Business Challenge

Modern businesses often store vast amounts of data, sometimes more than they need. While storage is affordable, careless or strategic storage can lead to significant security, privacy, and compliance issues.

An excellent illustration of this risk occurred recently when Fedex stored 119,000 pieces of identifying data, including sensitive documents, on a publicly accessible cloud storage platform.

The Dangers of Careless Data Storage

  • Colocated hardware is typically well-monitored and secure. However, companies owning servers in colocation data centers or leasing dedicated servers must maintain the same level of care.
  • Auditing infrastructure and data periodically is crucial to understanding what and why data is stored.

Key Considerations:

  • Identify Data Types and Sensitivity: Understanding the data stored is essential for determining appropriate protections.
  • Data Storage Location: Businesses use various hosting solutions, each with unique security concerns. Knowing where data is located is vital.
  • Access Controls: Managing access, authentication, and logging is critical to preventing unauthorized access and ensuring compliance.
  • Assign Data Ownership: Assigning responsibility for data storage ensures accountability and reduces the risk of neglect.

Tackling Dark Data

"Dark data" refers to unused or ununderstood data stored without proper oversight. Businesses should be mindful of their data storage practices, eliminating unnecessary data and ensuring responsible management.
